Four businesses, four very different front desks, the same pattern: no-shows fall off a cliff, the phone goes quiet, and the diary fills while the owner works. Here are their numbers.

The problem

Renata’s colour clients book 90-minute to three-hour slots – so a single Saturday no-show could swallow £120 of the day. The salon was averaging five to six no-shows a week, and the phone rang constantly while all four chairs were mid-appointment. Instagram DMs piled up until closing time.

What changed

Queuely went live on a Tuesday evening: a £20 deposit on all colour services, SMS reminders at 48 hours and WhatsApp nudges at 2 hours, and Q drafting replies to the “how much / when are you free” messages. The team approves drafts between clients from the colour bar.

Within eight weeks, no-shows fell from roughly 24 a month to one or two – and the deposit means even those aren’t free money lost. The reception phone, once a full-time interruption, now takes fewer than five calls a day.

DENTAL CLINIC MANCHESTER 3 SURGERIES

The problem

A three-surgery private practice with a failed-to-attend rate of 11% – worst on hygiene appointments, where a missed 30-minute slot can rarely be refilled at short notice. Two receptionists spent most of their day on the phone booking, confirming and chasing, while patients in the waiting room queued to be checked in.

What changed

Online booking now handles hygiene and check-up appointments end to end, with card-on-file and the clinic’s existing cancellation policy applied automatically. Reminders go out at one week, 48 hours and 2 hours, and the one-tap rearrange link moved most “can’t make it” calls to self-service. Q answers routine questions – parking, prices, whitening – from the website widget, with anything clinical held for staff.

FTAs now sit at 3.8%, and 62% of bookings arrive outside reception hours. The front desk answers the phone in two rings, because it barely rings.

Blackwick Tattoo

TATTOO STUDIO LEEDS 3 ARTISTS

The problem

Tattooing runs on consultations – and consultations were where the money leaked. Nearly a third of consult bookings simply didn’t turn up, each one blocking an hour an artist could have been tattooing. Meanwhile 60-plus Instagram DMs a week asked about pricing, availability and cover-ups, and answering them ate the artists’ evenings.

What changed

Every consult now takes a £25 deposit that rolls into the tattoo price, and full-day sessions take 25% upfront – booked through one link in the studio’s bio. Q drafts replies to the DM flood with real availability per artist, flagging cover-up and custom-piece enquiries for a human. When a session cancels, the waitlist offer goes out by SMS within a minute.

Consult no-shows fell from 30% to 6%. The studio is now booked six weeks out per artist, and the deposits protected in an average quarter total £3,900.

Kinetic Physio

PHYSIOTHERAPY BRISTOL 5 PRACTITIONERS

The problem

Physio lives and dies by course completion – and Kinetic’s patients were drifting. A 12% DNA rate across roughly 340 appointments a month, patients quietly dropping off after session two or three, and a practice manager spending her week rebooking the same people by phone.

What changed

Each practitioner’s diary went into the team calendar with their own hours and specialisms, so knee patients can only book clinicians who treat knees. Reminders confirm every session, and the rebooking follow-up catches anyone who finishes a session without their next one booked – the gentle “time to book session four?” text that a busy front desk never quite got to.

DNAs now run at 3.5%. The waitlist refills around eight freed slots a week, course completion is up 22%, and the practice manager’s phone-and-spreadsheet mornings are down to a 20-minute review of the day view.
